Records to Keep for the New Deductions: A Checklist by Deduction
Every deduction you claim can be questioned, and the new Schedule 1-A deductions depend on facts the IRS will try to match against third-party reports. Good records make filing faster and an inquiry painless. This checklist organizes what to keep for each deduction and why it matters.
General rule: keep records three years — usually
The IRS generally has three years from the date you file to assess additional tax, so keep supporting records at least that long. Keep them six years if you might have understated income by more than 25%, and indefinitely if you never file. Because the new deductions run from 2025 through 2028, someone claiming them every year could need records through 2032 or later. Scanned copies stored securely are fine.
Qualified tips
- Form W-2 showing tips and, for 2026 onward, the separately reported qualified tips and occupation code.
- Form 4137 if you reported unreported cash tips on your return.
- Daily tip records. The IRS has long recommended that employees keep a daily record of tips received; Publication 1244 contains a form for this. A tip app export works too.
- Monthly tip reports you gave your employer.
- Forms 1099-NEC, 1099-MISC or 1099-K for self-employed tips, along with records that separate tips from fares, fees or sales.
- Your job description or employer documentation if your job title does not obviously match an occupation on the official list.
The reason for the daily log is that it ties tips to specific dates and amounts. If your W-2 and your own records disagree, the log helps you correct the employer's reporting before filing.
Qualified overtime
- Form W-2 or other employer statement showing qualified overtime compensation.
- Pay stubs for the year, showing hours, regular rate and overtime pay.
- Documentation of non-exempt status, such as an offer letter or HR record.
- Your calculation if you used a reasonable method instead of an employer figure, with the assumptions written down.
Overtime premium can be affected by bonuses and shift differentials that change the regular rate. If your own estimate differs from the employer's figure, keep both and a note on why.
Car loan interest
- Purchase contract showing the vehicle was new, the date, the price and the buyer.
- VIN, which must appear on the return.
- Proof of US final assembly: a photo of the vehicle information label or a saved NHTSA VIN decoder result showing the plant.
- Loan agreement showing the origination date, that the loan is secured by the vehicle and the lender's name.
- Lender's year-end interest statement.
- Refinance documents if you refinanced, to show the new loan replaced a qualifying one.
- Evidence of personal use if you also use the vehicle for work, such as a mileage log separating business trips.
Senior deduction
- Proof of age is normally established through Social Security records, but keep a copy of a birth certificate or passport accessible.
- Social Security cards or SSA records showing valid SSNs for you and your spouse.
- Records supporting MAGI: Forms SSA-1099, 1099-R and 1099-INT/DIV, since the phase-out depends on income.
For every deduction: MAGI support
Each phase-out uses MAGI, so the documents behind AGI — W-2s, 1099s, brokerage statements and retirement plan contribution records — are part of the support. If you have foreign earned income or territory income, keep Form 2555 or 4563 worksheets, because those amounts are added back.
Employer-side records you can request
Payroll departments keep timekeeping data, regular-rate calculations and tip allocation reports. If you need them to support a claim, ask in writing and keep the response. Large food and beverage establishments also file Form 8027 reporting tip information to the IRS, which is one reason accurate tip reporting matters.
Organizing it
A practical setup is one folder per tax year with subfolders named Tips, Overtime, Vehicle and Senior. Drop each document in as it arrives: monthly tip reports, the December pay stub, the lender statement in January, the W-2 in late January. Before filing, run the numbers in the combined calculator and save a copy of your inputs. When you file, save the final Schedule 1-A with the folder.
What happens if records are missing
If the IRS questions a deduction, the burden is generally on you to show you qualify. Missing documents do not automatically mean you lose, but reconstructing tip records months later is hard, and the IRS may disallow amounts you cannot support. For car loan interest, the lender's report usually settles the amount, but you still need to show the vehicle qualifies. For overtime, an employer statement is strong evidence, and pay stubs fill gaps.
Fixing errors on your W-2
If your W-2 shows the wrong tip or overtime amount, ask your employer for a corrected Form W-2c before filing. If the employer does not respond, the IRS has a process for missing or incorrect W-2s; you may file using your best information with Form 4852 as a substitute. Keep a record of your requests.
Self-employed and gig workers
If you receive tips as an independent contractor, records carry even more weight because there is no employer W-2 to anchor the numbers. Platform payment summaries usually separate fares or service fees from customer tips; download the annual summary as soon as it is available, because platforms sometimes limit how far back you can access data. Keep your Schedule C working papers showing how you computed net profit, since the tips deduction cannot exceed net income from the business. Mileage logs, phone bills and supply receipts support those expenses. If you work in more than one tipped activity, track tips and expenses separately for each business so you can show the limitation was applied correctly.
Privacy and security
These records include Social Security numbers, VINs and income details. Store them encrypted or in a locked location, and never send them by unencrypted email. NewDeduct's calculators never ask for SSNs or VINs and do not store your inputs.
